Assigning PMs and Understanding PM Statuses

Learn how to check preventative maintenance (PM) statuses and assign PM tasks to your team or an external provider in Activate. The instructions below is a brief summary of the video.

 

Review the PM Statuses:

Open the Maintenance section of the drawer

Not Ready to Schedule - Indicates the maintenance isn’t due yet, and no alerts have been sent. Check how many hours remain before the next PM (displayed in parentheses after 'due').Image

Ready to Schedule - Indicates that you’re within a preset window (commonly 25–50 hours before due), and it’s time to plan the maintenance. The screenshot shows being two hours away from PM due.

Overdue - Indicates that the PM should already have been performed. The example displays a task overdue by five hours, noted on screen.

Assign Preventative Maintenance Tasks

On the Maintenance screen, find the PM task card. Click the three dots (options menu) and select 'New Task'.

Assign to a 3rd Party Provider or Internal Mechanic - A window will open. Choose whether to assign the task to a company technician or a third-party provider. This example assigns it to a third-party provider. Only the Assignee field is required. By default, the task will indicate that the work is not going to happen in the field where the equipment currently is. You can change that by selecting 'In the field'.

The process is the same for an internal Mechanic.

Once complete, click Assign.

Once a PM is Assigned, there are additional statuses to know:

Assigned: Not Started - Indicates the task has been assigned, but it hasn't been started yet.Image

Assigned: Checked Out - Indicates that the Assigned PM has been started in the Activate mobile app (note that this can only be tracked if assigned to an internal mechanic).

Completed Awaiting Approval - Indicates that the PM has been completed and it is ready for a manager to approve that the PM was completed.
